SITE ADMINISTRATOR

We are currently seeking a Site Administrator to join The Daniels Realty Corporation Brokerage.  Reporting to the Director of Operations, the Site Administrator will manage all administrative aspects of a new condominium project in the Keelesdale community. The ideal candidate will have excellent customer service skills, a professional attitude, and able to follow our office procedures and protocols.

Responsibilities:

  • Some typical front desk duties including but not limited to: greeting clients, answering phones and emails
  • General office duties including data entry, filing, using the photocopier and scanner
  • Maintaining and ensuring fulfillment of all administrative aspects of the Agreements of Purchase and Sale according to our procedures
  • Other Document preparation, recording and distribution
  • Some communication with Purchasers
  • Database management
  • Price list maintenance
  • Various report creation, preparation, maintenance and distribution
  • Complete other administrative duties accurately and in a timely fashion
  • Follow and enforce our general office procedures
  • Ensure smooth functioning of the office including, maintaining supplies and petty cash, arranging part-time staff as required and approving their timesheets
  • Keeping an organized and clean work environment
  • Managing/monitoring administrative support staff during sales launch
  • Training staff on procedures as required
  • Other duties as assigned

Requirements:

  • Previous experience working in an office setting
  • Condominium sales office experience is an asset
  • High level attention to detail
  • Quick learner
  • Deadline-driven
  • Adaptable
  • Good multitasking and organizational skills
  • The ability to prioritize
  • Proficiency in Microsoft Excel, Word and Outlook
  • Familiarity with FileMaker is an asset
  • Ability to work independently as well as part of a team
  • Fluency in English – both verbal and written
  • Ability to work evenings and weekends
  • Ability to work extended hours when required
  • Knowledge of DocuSign and video call applications is an asset
  • Flexibility with job location (you may be asked to move to a different office)

Typical work week is Monday – Wednesday 11:30am – 7pm, Saturday and Sunday 11:30am – 5pm.
